This Privacy Policy explains how Qodexify ("Qodexify", "we", "us") collects, uses and protects personal information when you visit qodexify.com, contact us or work with us. We aim to collect as little personal data as possible and to be clear about what we do with it.

1. Who we are

Qodexify is a remote-first software company that builds web applications, AI agents, workflow automation and websites. For personal data collected through this website, Qodexify is the data controller. You can contact us at hello@qodexify.com.

2. Information we collect

• Enquiry form: your name, email address, company, the service you are interested in, your budget range, your message, and the address of the page you submitted it from.
• Emails and calls: the contents of messages you send to hello@ or support@qodexify.com, and notes from scoping calls.
• Technical data: IP address, browser type, device and pages viewed. Our hosting provider records this in standard server logs. We collect analytics data only if you accept analytics cookies (see section 5).
• Client project data: if you become a client, we process the data you give us in order to deliver the work. That processing is governed by our contract with you and, where relevant, a data processing agreement.

We do not knowingly collect special-category data (such as health or biometric data) through this website. Please do not include it in your enquiry.

3. How we use your information and our legal bases

We do not sell your personal information, and we do not use it for advertising or profiling.

4. Who we share information with

We share personal data only with service providers that help us run the website and our business, and only as needed:

• Form delivery: FormSubmit (formsubmit.co) receives your enquiry form submission and forwards it to our email inbox.
• Email and productivity tools: our email provider stores the messages we send and receive.
• Hosting and delivery: our website host and content delivery network serve the site and keep security logs.
• Analytics (only with your consent): Google Analytics, if analytics is enabled on the site.
• Professional advisers and authorities: lawyers, accountants and public authorities where required by law.

These providers act on our instructions or under their own privacy terms. The website loads its fonts from our own server, so your browser does not contact Google Fonts or other font hosts when you visit.

5. Cookies and similar technologies

By default this website does not set cookies and does not track visitors. If analytics is enabled, you will see a cookie banner and analytics cookies are switched on only after you choose Accept. You can change your choice at any time using the "Cookie settings" link in the footer, and you can also delete or block cookies in your browser settings. We treat a Global Privacy Control signal from your browser as a request to decline analytics.

Your consent choice is stored in your browser's local storage so we do not ask you again on every visit.

6. International transfers

We work with clients and providers around the world, so your information may be processed outside your country, including in the United States. Where required, we rely on safeguards such as adequacy decisions or standard contractual clauses.

7. How long we keep information

• Enquiries that do not lead to a project: up to 24 months after our last contact, then deleted.
• Client contracts, invoices and related records: for the period required by tax and accounting law, typically six to seven years.
• Analytics data: for the retention period configured in our analytics account, no longer than 14 months.
• Server logs: for a short period set by our hosting provider, normally under 90 days.

8. Your rights

Depending on where you live, you may have the right to:

• access the personal data we hold about you and receive a copy;
• have inaccurate data corrected;
• have your data deleted;
• restrict or object to certain processing, including processing based on legitimate interests;
• receive your data in a portable format;
• withdraw consent at any time, without affecting earlier processing; and
• complain to your data protection authority, for example the ICO in the UK or your national authority in the EU.

9. California and other US state residents

Residents of California and some other US states can request to know what personal information we collect, to delete or correct it, and to opt out of the sale or sharing of personal information. We do not sell personal information or share it for cross-context behavioural advertising, and we do not discriminate against anyone who exercises these rights. Send requests to hello@qodexify.com.

10. Children

This website is intended for businesses and is not directed at anyone under 16. We do not knowingly collect personal data from children.

11. Security

The website is served over HTTPS. We limit access to personal data to people who need it, use strong authentication on our accounts and review the services we rely on. No online service is completely secure, so please do not send passwords or highly sensitive information by email or through the form.

12. Links to other sites

This site links to third-party websites, including social profiles. We are not responsible for their content or privacy practices, so please read their policies.

13. Changes to this policy

We may update this policy as our services or the law change. We will post the new version here and change the date at the top. If a change is significant, we will make it clear on the site.
